Consultation Services for Caregivers & School
Reach is able to provide consultation services to discuss additional concerns and strategies outside of therapy sessions without your child present and school consultation support.
All consult rates are an additional cost that are not able to be billed to insurance. We are unable to provide around the clock phone and email support to our patients but do recognize that there may be times that you would like additional support beyond your weekly session, thus the opportunity to access consultation.
What consultation services are available?
PHONE: Therapists have 32 children scheduled throughout their 40 hour week and are unavailable for unscheduled phone calls. If you need a phone consult, please email the therapist and our scheduler together to find a time that aligns in everyone’s schedule.
EMAIL: With a full caseload, the documentation required by insurance providers in order to receive services, and their commitment to planning unique sessions for each child, therapists are unable to provide in-depth emails to each of their families weekly outside of therapy sessions. Therapists are able to answer simple, yes/no type emails, or a quick clarification on the session. Prior to responding with an in-depth response, we will confirm that you would like to consult, if we do not hear from you or do not have time that aligns that week in our schedule, we can discuss the email during the next session.
ZOOM: Virtual sessions without the child present can be scheduled for caregiver education, additional support on how to support the child, navigate barriers or challenges at home, school, or in the community, with any person or caregiver in the child’s life, including school personnel.
LETTERS: Requests for summaries of a child’s care beyond progress notes or daily notes, support strategies to implement at school, or requests to answer questions regarding a child’s care for a court case are all able to be provided under consult services. All requests must be within a provider’s scope of practice.
What is the fee for consultations?
Our rate is $80 per hour for phone, e-mail, Zoom calls, additional letters of support, with the caregiver or school that are OUTSIDE OF THERAPY SESSIONS.
What is the process?
We inform you of the estimated time and cost in email and receive your approval, prior to initiating consults with you or with the child’s extended care team or school. We invoice this bill directly to you with the total cost for each consultation session provided monthly.
Can my therapist consult with my child’s school?
Yes! On-site consulting for your child’s school team is available and includes the cost of travel time from Reach to your child’s school and back.
Rates start at $160 for the initial consultation (30 minutes observation in class, 30 minutes speaking with school personnel/family or reviewing their information from email; 1 hour to write up and review recommendations) and $80 per hour for each additional hour. Rates include a summary of therapist findings, recommendations, and strategies to carry over at school.
Requesting the therapist attend a school IEP/Team meeting virtually or in-person falls under general consultation, at $80 per hour (and travel time must be paid for if on-site).
In-service learning and training provided to schools and child-care centers at a rate of $100 per hour on topics such as: Understanding Sensory Processing, Responsive Caregiving & Educating, Regulation Strategies, Trauma Informed Care, Supporting the Neurodiverse Child, AAC in the Classroom. Schools contact us to provide learning opportunities, and we have also had families pay for us to provide school based training, so that their child and others are supported.
What does consultation services provide for me?
Opportunity for further discussion with your child’s therapist on recommendations or strategies without your child present to provide additional support to help promote carry over outside of therapy sessions.
Opportunity for your therapist to collaborate with additional members of your child’s care team on effective supports and strategies to be shared with and coordinate carry over among the care team.
I can‘t afford consultation and my insurance doesn’t cover it…what now?
If your child and/or their team need more support in a week and are unable to pay for consultation services, you are always able to schedule an additional make-up session in a week to have additional time with your therapist. We pride ourselves on our ability to work directly with your child while also supporting families in session.
We have also had school teachers, school therapists, early interventionists, and other practitioners join our session in-person or via zoom to learn more about our role in supporting the child and family, so this is also an option.
There are grants that families can apply for that provide financial support for children with disabilities to support additional costs/needs based on their diagnosis or specific supports needed. Please reach out if this applies to you.
